Project Background

The Girls’ Protection and Empowerment Project – Phase II aims to strengthen community protection systems for girls most at risk of violence, exploitation, and denial of rights. It builds on achievements from Phase I, which raised awareness on child rights, child marriage, gender-based violence, and female genital mutilation. The project also develops referral mechanisms, provides specialized support services, expands prevention and response interventions, and enhances the capacities of abused girls through an entrepreneurial approach.

Overall Purpose of the Position

To provide professional and welcoming reception services to visitors and beneficiaries, manage office environment efficiently, and ensure proper guidance of beneficiaries, contributing to a positive impression of the project and its services.

Key Responsibilities

  • Welcome beneficiaries and their families professionally and identify their needs.
  • Direct beneficiaries and cases to the appropriate staff or department.
  • Handle general inquiries and forward them appropriately.
  • Schedule appointments for staff or beneficiaries with relevant departments.
  • Assist in organizing team meetings.
  • Provide basic administrative support (copying, scanning, organizing meeting rooms).
  • Assist in registering new beneficiaries and guiding them to complete initial forms.
  • Maintain cleanliness and order in reception and waiting areas.
  • Ensure awareness materials and information in reception are updated and sufficient.
  • Clarify complaint mechanisms to beneficiaries during service provision.
  • Report any safety or maintenance issues in reception areas.
  • Maintain confidentiality of all beneficiary and project information.
  • Adhere to organizational policies, especially Child Protection and PSEA (Prevention of Sexual Exploitation and Abuse).
  • Handle sensitive cases with empathy.
  • Perform any other tasks assigned by the direct supervisor within the project framework.

Qualifications and Experience

  • Diploma in Computer Studies, Office Administration, or related field.
  • Minimum of 2 years’ experience in reception, administrative services, or customer service.
  • Intermediate level of English.

Skills and Competencies

  • Basic knowledge of Microsoft Office (Word, Outlook).
  • Excellent Arabic language skills (speaking, writing, reading).
  • Professional appearance and work ethics.
  • Excellent verbal communication and interpersonal skills.
  • Ability to create a positive first impression.
  • Ability to deal with diverse personalities with patience and courtesy.
  • Strong organizational skills and ability to multitask in a fast-paced environment.

Physical and Mental Requirements

  • Physically healthy with sound senses.
  • Presentable appearance.
  • Accuracy and attention to detail.
  • Strong observation skills.
